Winter in the Puget Sound brings a unique magic to events, from crisp air to cozy gatherings. At Alexander Party Rentals, we specialize in making your winter vision a reality while keeping your guests warm, dry, and safe.
Planning a winter event requires extra attention to detail. This guide covers everything you need to know about renting a tent during the colder months to ensure your celebration goes off without a hitch.
Winter weather can be unpredictable. To ensure your tent stands firm against the elements, we prioritize heavy-duty securing methods.
Upgraded Weighting: For any tent 20×20 or larger, we typically upgrade from standard buckets to 350 lb weights.
Precision Staking: Depending on the location, we may use extra stakes or double-down on weights at every leg to guarantee maximum stability.
Wind Awareness: Safety is our absolute priority. If winds reach 38 mph, we advise all guests to exit the tent. Our structures are sturdy, but they are not rated for heavy impact from flying debris or extreme gusts.
Since winter days are shorter and nights are colder, we focus on two essentials: warmth and light.
Keep the chill away with our professional heating options. Please keep these safety guidelines in mind:
Propane Power: We use 24-gallon propane tanks for our heaters. Smaller tanks can freeze in the cold, causing the heater to fail.
Legal & Safe: We only rent our specialized tent heaters for use with our own tents. Please note that propane heaters are not legal in fully enclosed indoor spaces.
Power Requirements: Our heaters require AC electrical power to run the fans. Ensure you have a nearby outlet or a generator ready.
Small Tents: For tents 20×20 or smaller, you are welcome to provide your own electric heater. However, patio heaters are never allowed inside or near the tent fabric.
Because it gets dark early, we recommend adding professional lighting to every winter rental. From elegant ambiance to industrial high-bay lights for workspace applications, we ensure your event stays bright and inviting.
While our tents are high-quality and water-resistant, they are not 100% waterproof. Rain may occasionally seep through seams during heavy downpours.
If the forecast calls for snow, management is key to protecting the structure:
The Half-Inch Rule: If snow accumulates over half an inch, you must remove it immediately.
The Broom Technique: Use the bristle side of a broom to gently tap the roof from the inside. This helps the snow slide off safely.
Stay Heated: Keeping the tent heated helps snow melt and slide off naturally before it can build up.
To keep the heat in, we recommend adding sidewalls. In the winter, we often “wrap” the walls to minimize seams, creating a better seal against the wind.
Note: We do not offer clear tents or clear walls for more than one weekend in winter, as the material can crack in freezing temperatures.
If you need a tent for a month or longer—for a school, hospital, or commercial storage—we offer specialized long-term packages.
Consistent Fuel: We can coordinate with a propane company to install a 120-gallon tank so you never run out of heat.
Monthly Maintenance: We offer a monthly service check to inspect ropes, tie-downs, and wall conditions, ensuring your structure remains in peak condition.
Storage Solutions: For commercial storage, we utilize heavy-duty #2 canvas to provide the best protection for your equipment.
Winter installations take a bit more time and coordination. Our crews often work in the rain, cold, and dark to get your event ready.
Extended Timelines: Please account for extra installation time when adding walls, heaters, and gutters.
Travel and Passes: For events more than 25 miles away or across the Snoqualmie or Stevens passes, delivery and pickup are subject to weather conditions. We prioritize the safety of our crews and your equipment.
